Cancellation & Missed Appointment Policy

New Patients

All New Patients presenting to our Clinic for their initial appointment will have a 45 minute consultation. A longer amount of time needs to be allocated for this appointment as we need to discuss your case history, perform an examination and any necessary diagnostic testing procedures before any treatment can be undertaken. If you need to cancel or reschedule your initial appointment, you may do so up 12 hours prior to your appointment time. If you cancel your initial appointment on the day, or fail to attend the initial appointment without any notice, a 50% missed appointment fee will apply.

Existing Patients

Our staff will do their best to accommodate you for suitable appointment times. We ask that you allocate some priority to these appointments. If you need to cancel or reschedule an appointment, we prefer to have at least 12 hours notice of the cancellation.

Failure to provide a minimum of 12 hours notice will result in a late cancellation or missed appointment fee of 50%. Upon signing our consent form prior to receiving any treatment within our clinic, you indicate that you acknowledge and agree to our policies including our cancellation policy. This standard procedure is not new, nor is it unique to our clinic and adheres to all of our patients within our clinic. If you make your booking via our online booking system you are able to cancel or reschedule your appointments as needed. If you make your booking via phoning the clinic, you will need to ring the clinic to make any changes or respond to the SMS we send you. As a courtesy, we send out SMS reminders the day prior to your appointment time. This is a proactive approach on our behalf, and also gives you the opportunity to cancel or reschedule your appointment if it no longer suits. All responses to these text messages are monitored and we have a 24hr message system should you contact us outside of hours. By receiving advance notice that you are unable to attend, it provides us with an opportunity for us to offer the appointment to other clients from our waiting list or those requiring emergency treatment. Last minute cancellations and clients not attending their allocated appointment times can have a major impact on our waiting list and can negatively affect other patient’s treatment progress. We respect all of our patients time is valuable and we would like to think you respect our practitioners time is equally valuable.
